We are a dynamic, solution driven Facilities Management team with high quality service at the forefront of everything we do. We’re looking for a motivated and experienced Facilities Assistant to provide first class hospitality and front of house service standards and valuable support to the Facilities team . 

We are looking for a Facilities Assistant with a corporate background. The ideal candidate will be a team player, with great organisational skills, dedicated and committed to providing a welcoming and professional environment for all clients and visitors. 

This is a fast paced and varied role at the heart of our business. If you are someone with a ‘can do’ attitude, who is flexible, professional and proactive, with experience working within a corporate facilities team; we want to hear from you! 

The working hours for this role would be Monday-Friday, between the hours of 8am and 6.00pm and this role is based in the office 5 days a week.

Your Key Responsibilities

  • To provide a warm courteous and prompt welcome on arrival for all visitors at the Reception desk and to incoming calls. 
  • Assist with meeting room bookings as required and to liaise with relevant parties to ensure the delivery of a professional service.
  • To carry out daily floor walkrounds and Facilities inspections noting any concerns and ensuring that remedial action is taken
  • To carry out regular checks of the office and meeting rooms to ensure correct set up and readiness for use, including rearranging furniture and room layouts as required 
  • To ensure that visitor arrivals are communicated to the relevant stakeholders promptly and that the visitor is escorted to the relevant room in a timely fashion.
  • Developing and maintaining a positive working relationship with Building Management, Project Stakeholders and contractors.
  • Assisting with various Facilities management tasks and projects, owning requests and seeing them through to completion.
  • Assisting with event organisation, set up and clearance
  • To assist with data gathering and reporting
  • Receiving and processing the organisation’s incoming and outgoing post and following due procedures.
  • Various administrative tasks to support the business; printing and posting ad hoc letters received in the Facilities inbox.

Requirements

  • Have previous experience as a Facilities Assistant or Receptionist in a corporate environment 
  • Be approachable and enthusiastic 
  • Be able to work independently and as part of a team
  • Demonstrate effective communication skills, both verbally and written 
  • Have the ability to operate calmly under pressure with a strong customer focus.
  • Be able to demonstrate a professional and organised approach to the role with a growth mindset and close attention to detail
  • Have a flexible approach to work and be able to juggle a range of tasks
