FM Administrator – HMNB Clyde

£25000 per annum/ 37 hours per week

We’re currently recruiting a dedicated FM Administrator to help ensure the smooth running of the operations in Defence on a full time basis, contracted to 37 hours per week.

Key Responsibilities:
  • Support the Accommodation Lead Manager in producing, collating, and filing documentation for Accommodation. 
  • Maintain a well organised, efficient, and effective filing system for all administration within the department.
  • Comply with all Company Profit Protection policies and processes.
  • Order and account for employee uniforms and PPE.
  • Support the Manager’s with FoodBuy and invoicing processes.
  • Collate and raise building faults and damages to the helpdesk in an efficient manner. Informing the Mess Manger of any serious faults/breakages.
  • Recording of events and service failures, chasing and completion of calls, production of Work Request Failures, liaising with internal and external customers.
  • To work as part of a disciplined team in the effective running of administration and associating supporting duties including the helpdesk 
  • To always provide a positive and professional service
  • Support on the SLAMIS system for the reception team and the client/customer 
  • Support the Reception team on cover for shift patterns.
  • To ensure a high standard of accuracy for data entry using computerised systems and databases within required deadlines. 
  • Handle incoming calls and manage outgoing calls as required and liaise with wider team members to ensure the best resolution, consistent with the contract.
  • Work closely with Managers to develop and enhance the quality of service and reporting processes.
  • Liaise with other sections to ensure bookings are fulfilled to the satisfaction of the customer.
  • To encourage and promote all available services to the customer particular in conferencing and events.
  • Coordinate, analyse and report customer feedback for Accommodation, upload the feedback to the management team. 
  • Analyse the cleaning schedule from the cleaning teams to upload to confirm on completion of tasks, support the management on the reporting.
  • Answer telephones and direct messages to the appropriate individual/manager in a timely manner.
  • Be flexible and assist with other reasonable duties as and when required.
  • Promote a safety culture and operate in accordance with company and client Health & Safety procedures at all times.

Desirable
  • Experience of working in a Military establishment
  • A good understanding of Business and Contracts
  • NVQ in office administration, business administration or equivalent
