Basis: Full time

Package: 37 hours per week, Flexitime scheme, Local Government Pension Scheme (LGPS), Holiday allowance of 25 days (plus public holidays) on joining.

Job Description:

Are you highly organised, proactive and confident supporting senior leaders? This is an exciting opportunity to join our Executive Support Team and play an important part in keeping senior leaders organised, informed and well prepared.

About the role                    

You will provide high-quality administrative and organisational support to the Senior Leadership Team (SLT) and Executive Office, helping to ensure meetings, visits and diary management are well coordinated and professionally managed. As part of the Executive Support Team, you will play an important role in enabling the smooth running of executive business.

Key Responsibilities:                                                             

  • Provide diary, calendar and administrative support to ensure the effective coordination and prioritisation of meetings, appointments and internal and external engagement activity. 
  • Support SLT meetings and other key forums by preparing agendas, attending meetings where required. 
  • Organise and coordinate SLT listening visits, including planning schedules, liaising with departments and ensuring all logistical arrangements are in place. 
  • Support the planning and delivery of VIP visits, including coordinating stakeholders, managing logistics, and ensuring a professional and well-organised experience. 
  • Prepare correspondence on behalf of senior leaders, including letters, invitations and other formal communications. 
  • Process and coordinate expenses, travel and accommodation arrangements for SLT members, ensuring compliance with Service policies and procedures. 
  • Maintain accurate records, documentation and filing systems in line with organisational requirements. 
  • Ensure confidentiality is maintained at all times when handling sensitive information and correspondence. 
  • Build effective working relationships with internal departments, external partners and stakeholders to support the delivery of SLT priorities. 

About you

You will be organised, proactive and able to work well as part of a team, with experience in an administrative role. With good written and verbal communication skills, a high level of accuracy and attention to detail, and confidence using Microsoft Office packages, you will be able to manage tasks effectively, use your own initiative and meet deadlines.

You will have:

  • English GCSE grade 4 or equivalent.
  • Experience of working in an administrative role.
  • Experience using a range of computer packages including Microsoft Office, Word, PowerPoint and Excel.
  • Good organisational skills and be able to work on own initiative to meet deadlines.
  • Good written and verbal communication skills with a high level of accuracy and attention to detail.
  • Ability to work as part of a team.
