Role responsibilities

The purpose of the role is to support with issues that are often sensitive, of high importance, urgent, and raised on behalf of the customers and communities we serve, to ensure stakeholders managed by the team feel informed and included in Transport for Wales (TfW) activities, and the organisation retains its commitment to openness and transparency.

  • Provide comprehensive administrative support to the TfW Chair, including diary management, travel arrangements, inbox and other written communication management, meeting co-ordination and expense reporting to support the effective discharge of the Chair’s role.
  • Act as a gatekeeper and primary point of contact between the Chair and internal and external stakeholders to ensure efficient and appropriate use of the Chair’s time.
  • Source, monitor, and facilitate the preparation, editing, and proofreading of official Chair correspondence, ensuring accuracy, adherence to governance, and timely handling.
  • Handle confidential information to ensure it is dealt with discretion and professionally and in compliance with TfW’s data and information storage policies and procedures.
  • Anticipate Chair needs and requirements and proactively solve problems to ensure maximum efficiency of the Chair’s time.
  • Co-ordinate logistics for meetings, events and speaking engagements ensuring sufficient briefing and supporting meeting papers to allow the Chair to undertake their duties effectively.

Who we’re looking for

  • Demonstrable experience of multitasking and organisational skills within a high pressured and changing environment.
  • The ability to provide high profile and highly professional administrative duties. Proven ability to deliver high-profile, professional administrative support.
  • Experience of undertaking drafting tasks, such as accurately proof reading and interpreting a range of documents – including emails, papers, reports, letters, spreadsheets and presentations.
  • Discretion in handling sensitive and confidential material.
  • Experience of co-ordinating high profile internal and external meetings events.

Welsh Language Skills

The ability to speak/write Welsh would make a great addition to your application, but it is not essential for this role.

Transport for Wales supports and promotes the use of the Welsh Language by employees and will encourage them to develop, improve and maintain their Welsh Language skills.
